Archiving Students

The archive option is designed as a short-term solution for students who are not currently active. Instead of deleting a student (which permanently removes all associated data), archiving simply takes them off the active roster while keeping their data intact.

  • Why archive instead of delete?
    • Archiving is useful if you plan to make the student active again later.
    • It also allows you to free up licenses for other students, since archived students are not counted toward your school or district’s license total.
  • What happens when a student is archived?
    • They no longer have an active account and cannot log in until restored.
    • Their data remains intact during the archived period.
    • Archived accounts are automatically deleted after 120 days, without notification to the school or district.
  • Deleting vs. Archiving
    • Deleting a student permanently erases all associated data. This action cannot be undone.
    • Archiving keeps the data safe but temporarily disables the account. If you may want the student active again in the near future, archiving is a good option.
  • Who can archive?
    • Teachers may delete students, but only administrators can archive students.
    • The archive option is found only in the Informative view of the Students tab.

How are students archived, and how can they be restored as active students again?

Archiving students: (Students may only be archived one at a time.)

  1. Begin on the Informative view of the Students tab.
  2. Locate the student and click on their archive icon.

Above is the Archive icon.
  1. Confirm your decision to archive this student in the pop-up verification window.

You will no longer see the student listed on the Students tab when 'All Students' are displayed.


Restoring an archived student. (Students may only be restored one at a time.)

  1. Click on the Students tab and choose the Informative view.
  2. Use the drop-down menu in the top left corner to choose 'Archived Students'.
  3. Locate the student and click on the restore icon.

Above is the restore icon.
  1. If you wish, change the school and/or the class where the restored student will be placed.
  2. Click on Save.

You should now see the restored student listed on the Students tab when 'All Students' are displayed.
