Manual Rostering Rollover

This guide is for renewing schools and districts with manually rostered accounts (typically via CSV files).

  • Only account administrators can make rostering changes.
  • This is not intended for schools using Clever or ClassLink.

We recommend that you do not upload CSV files yourself.

Instead, share your Students and Staff CSV files with us via our Dropbox link.

Rostering via CSV can be tricky—most files we receive contain some errors. With our experience, we can quickly identify and fix these issues. Letting us handle the upload ensures a smooth, error-free process.

There are three options for manually updating your student and staff rosters for the 2025-26 school year.

  1. Export, Edit, and Re-Upload CSV files (Data is preserved)
  2. Delete and Start Fresh (Data is not preserved)
  3. Edit Rosters Manually (Data is preserved. Recommended only for smaller accounts.)

Option 1 - Export Current Rosters, Edit Them, and Re-Upload Them for the New School Year

You can download your current rosters, make the necessary changes for the new school year, and upload the updated version of your CSV files. This method of updating your rosters will preserve your students' data from the previous school year.

You will notice that the student and staff files you export will contain an additional column with the student or staff member's ID number. Everything else can be changed in these files: Class, Name, Grade, etc. EXCEPT these ID numbers.

Students and teachers who will no longer be using your MathFactLab account during the 2025-26 school year should be deleted in your administrator dashboard before exporting your current roster.

In order to download your current CSV files:

  1. Select the 'Schools' tab
  2. Click on the 'Bulk Upload Tool'.

  1. Click on the Export buttons for both the current staff and students CSV files. Take note where these downloaded files are saved and open them in your preferred spreadsheet program.

The step-by step demo below will take you through these steps for deleting unnecessary accounts and downloading your rosters from the previous school year.

If you would like the MathFactLab team to take care of processing your CSV files follow these directions after you have made the necessary changes for the new school year.

Alternately, you may upload your revised CSV files yourself by following these directions.

Option 2 - Delete Previous Accounts and Upload New CSV Files

With this method:

  • Student accounts (and staff accounts if desired) from the previous year are deleted.
  • New rosters are uploaded for all students and staff via new CSV files.
  • This method will not preserve student data from the 2024-25 school year.
  1. Delete last year's student accounts from your account by using the 'Delete Bulk' feature.
  2. If needed, you can use the 'Group Delete' feature to remove teachers, sub-administrators and/or classes who/that won't be needed for 2025-2026.
  3. Prepare and send us your CSV files by following these directions.

You can skip the 'Accept Your Super-Administrator Account Invitation' direction because your super-administrator took care of this step the previous year. If you will be using a different super-administrator this year, send an email to contact@mathfactlab.com naming your new super-administrator and including their e-mail address, and we will create that account and remove the previous super admin.

Option 3 - Edit Rosters in the Admin Dashboard

You can also take care of your rostering changes for the new school year from within the administrator's dashboard. This method of updating your rosters will preserve your students' data from the previous school year.

This method is appropriate if you have a relatively small number of changes to make for the new school year.

  1. Students who will no longer be using your MathFactLab account should be removed using the 'Delete Bulk' feature.
  2. Teachers, sub-administrators and classes can also be deleted, if necessary,
    1. Deleting One or More Teachers
    2. Deleting Sub-Administrators
    3. Deleting One or More Classes
  3. New teachers and classes can be added by following these directions.
    1. Adding Teachers without using CSV Files
    2. Adding Sub-Administrators
    3. Creating Classes
  4. Students can be transferred to their new classes and grade levels can be changed using the group edit tool.
